Choosing your Table Plan

A wedding Table Plan is usually the last piece of stationery to be finalised, because it cannot be completed until the RSVP Cards are back and the seating is settled. Most venues display a single large board on an easel near the entrance to the room. Guests are commonly listed alphabetically by surname, which is faster to scan than grouping by table, with the table named beside each name. It is normally ordered alongside the Menu cards and Place cards so the lettering matches.

Common questions.

When should a wedding table plan be ordered?+
After the RSVP deadline, once final numbers and seating are settled. Most couples allow a week or two before the day, which is enough for printing and delivery while leaving room for a late change.
Should a table plan be alphabetical or grouped by table?+
Alphabetical by surname is quicker for a guest to scan, particularly with 100 or more names, because they look for themselves rather than reading every table. Grouping by table shows who is sitting together, which some couples prefer for smaller weddings.
What size should a wedding table plan be?+
Large enough to read from a step or two back, since several guests will be looking at once and a queue forms if only one person can read it at a time. The size is usually matched to the easel or frame the venue provides.
What happens if guests drop out after the table plan is printed?+
Small changes are usually managed on the day by moving place cards rather than reprinting. Where a whole table changes, a reprint is sometimes needed, which is why the plan is left as late as the schedule allows.
Do we need a table plan and place cards?+
Most weddings use both: the plan tells guests which table, and place cards tell them which seat. Some couples use the plan alone and let guests choose seats within their table.
Should the table plan match our other wedding stationery?+
It commonly does, using the same typeface and colours as the menu cards and place cards. It is one of the first things guests see on entering the room, so it tends to set the tone for the table.
